End per-retrieval fees

The bill that grows every time you look at your own records.

Dana's team pays to digitize, pays to store, and pays again every single time someone retrieves a file. The archive is huge — so most of it stays dark, because looking costs money.

The reality today

Renting access to records you already own

Metered retrieval

Every pull is a line item. The more your team uses the archive, the more it costs — so people stop using it.

A dark archive

Because search is slow and billable, decades of records sit untouched and unsearchable.

Costs that compound

Per-image storage and retrieval fees rise every year as the estate grows — with no ceiling.

“We were paying a toll every time we wanted to read a file we’d already paid to scan, store, and own.”

How the system works

Swap metered access for one governed platform

Bring scanned images and born-digital files onto one engine where search and retrieval are included — not metered.

Iron Mountain / Access model

  • Per-image digitization billed up front
  • A retrieval fee on every single pull
  • Per-GB storage that climbs every year
  • Slow, billable search keeps the archive dark

Fileport platform model

  • One predictable platform subscription
  • Unlimited search & retrieval on every tier
  • Usage-based ingestion you can forecast
  • Every record searchable from day one

Billing & forecast

Know the cost before you import

Forecast an import — documents, pages, growth, queries — and see one-time ingest, first-year total, and storage up front, next to what you save versus per-image incumbents. The current invoice itemizes ingestion, embedding, storage, and queries, so spend is predictable instead of a surprise.

What happens, step by step

From problem to proof

1

Ingest the archive

Scanned images and born-digital documents flow onto one delta-sync engine — no bulk copies, no re-scanning.

2

Make it all searchable

Hybrid keyword + semantic search covers the whole estate, included in the platform fee.

3

Forecast the spend

The billing module models one-time ingest, first-year total, and storage before you commit a dollar.

4

Stop paying to look

Retrieval is unlimited — usage no longer maps to cost.

FAQ

Common questions

Is retrieval really unlimited?

Yes. Every tier includes unlimited search and retrieval. You pay a platform subscription plus usage-based ingestion as documents come in — never a fee each time you access a record.

How do we model our own numbers?

The ROI calculator takes your image count, retrieval volume, growth, and years and shows multi-year totals for both models, side by side.

What about chain of custody during migration?

Event-based retention, legal hold, and a tamper-evident ledger carry through the migration, so custody survives the move.
